Multiple users and Data edit

We are 5 users in Navision version 5. When 2 or three users work in suppose same window payment journal the no series and other datas are deleted and others entry are over writted. I dont know what can be done to prevent this. Please let me know what is possible to be done to prevent this technically or any other alternatives
