Navision and outlook permissions

The company i work uses navision 4.0 SP3. We currently use todo an d contacts synced with outlook. we have customer service, sales, marketing who all need there contacts,tasks and calendar shared out to everyone in these groups. I have had to contact each user and add everyone into there permissions. Is there any other way around this?
